Event Assistant (Temporary Part-Time)
Location: State Historical Society of Missouri, Columbia, MO

Summary of Position:

The Event Assistant will be responsible for helping the Event Manager in coordinating all aspects of client events hosted at our venue, from initial client communication to post-event evaluation. This position involves extensive interaction with clients, meticulous planning and execution, as well as marketing and administrative duties. The Event Assistant plays a pivotal role in ensuring exceptional guest experiences and maximizing revenue generation for the Center for Missouri Studies venue. This position has the option to be year-long.

Duties:

  • Act as the on-site liaison between clients and the venue, fostering positive relationships through clear, timely, and professional communication.
  • Respond promptly to client inquiries, addressing questions, concerns, and requests with attention to detail to ensure client satisfaction.
  • Provide hands-on support during events, including coordination of vendors, and client assistance to ensure flawless event execution and guest satisfaction.
  • Address any on-site challenges or last-minute adjustments promptly, utilizing problem-solving skills and resourcefulness to maintain event quality and minimize disruptions.
  • Collaborate closely with staff to uphold cleanliness, organization, and safety standards throughout the event, ensuring a welcoming and secure environment for all attendees.

Qualifications: Ideal candidates for this position will be dependable, responsible, have the ability to communicate effectively, and work independently.

Hiring Range: $17.00 per hour

Schedule: This position is available starting in August 2025. The schedule for this job is flexible and includes occasional evenings and weekends.

Business Operations Associate, Sr.

Location: State Historical Society of Missouri, Columbia, MO

Key Responsibilities:

  • Manage office activities including responding to email and telephone communications, directing information requests to appropriate departments, procuring supplies, equipment and services, and assisting in general daily business activities.
  • Complete daily financial duties including entering transactions into accounting system, initiating payments, and preparing deposits. Conduct monthly reconciliation of all accounts and credit cards.
  • Assist with time accounting and related human resources functions.
  • Maintain office filing systems including tracking contracts, agreements, and official documents.
  • Participate in SHSMO events and other activities to promote SHSMO.
  • Liaison to the SHSMO Board of Trustees by maintaining communications, scheduling meetings, securing meeting spaces and catering services, and accurately recording meeting minutes.
  • Assist Executive Director by coordinating activities and scheduling.
  • Other duties as assigned.

Minimum Qualifications:

  • A Bachelor's degree or an equivalent combination of education and experience and at least 4 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications:

  • Strong organizational and administrative skills are critical, including managing schedules, inventory management, communications, and coordination of activities and events.
  • Candidate should have a high attention to detail, customer service skills, can maintain strict confidentiality, and support a strong teamwork ethic.
  • Familiarity with QuickBooks Online.
  • Working knowledge of University of Missouri procurement and accounting systems.

Hiring Range: $51,875-$65,000

Work Hours: Monday-Friday, and nights and weekends as needed.

Archivist (Part-Time)

Location: Cape Girardeau

Nature of Work: To process manuscript collections, conduct research room services, and promote manuscript materials.

Key Responsibilities:

  • Accession, arrange, describe and otherwise process manuscript, photograph, audio-visual, oral histories, electronic records, and other research materials in accordance with standard and local principles and practices.
  • Assist in the appraisal of records and items within the collection. Maintain an accurate and complete collection description and inventory. Prepare reports and statistics on work progress.
  • Assist in the development of strategies for the preservation and reformatting of materials in the collection.
  • Conduct basic preservation of materials such as cleaning and mending of damaged papers.
  • Promote collections using social media platforms and SHSMO publications.
  • Continue education through attending conferences, seminars, and professional meetings.
  • Other duties as assigned.

Minimum Qualifications:

  • Bachelor's degree in history, or related field and has archival experience in collecting, processing, description, preservation, and digitization of collections. Successful candidate is expected to have a master’s degree in History or Library Science or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired.
  • Should have experience with Microsoft Office and Adobe.
  • Excellent visual, communication, and public speaking skills.
  • Ability to lift and carry 35 to 40-pound boxes is mandatory.

Preferred Qualifications:

  • Master’s degree in History or Library Science or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired.
  • Demonstrates understanding of archival standards.
  • Experience working with audio-visual materials.
